BC COACHING AUSTRALIA PTY LTD ("BC Coaching", "we", "us") provides in-person and online fitness coaching through our websites, coaching app and connected tools ("Platform"). This policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. It forms part of our Terms of Service.
Directly from you: through our websites and quizzes, intake and check-in forms, the coaching app, messages, calls and sessions. Automatically: through the Platform (workout and nutrition logging), integrations you choose to connect (wearables, smart scales), and our websites (cookies and analytics).
Your results in our marketing: progress photos, results and testimonials are only ever used with your separate written consent, identified or anonymised as you choose, and you can withdraw that consent for future use at any time.
Some optional coaching tools use AI, such as meal photo logging, nutrition estimates and auto-generated summaries. When you use these, the relevant data (for example a meal photo) is processed by trusted third-party AI providers to generate the output. AI outputs are informational only, are never medical advice, and your coaching is always reviewed by a human coach.
We do not sell your personal information. We share it only with service providers who help us deliver coaching, and only what's needed:
Overseas storage: some of these providers store or process data outside Australia (including the United States and Canada). We use reputable providers with appropriate security practices.
Otherwise we only disclose personal information with your consent or where required by law.
Our websites use cookies and similar technologies, including Google Analytics (to understand site traffic) and the Meta Pixel (to measure our advertising and show relevant ads on Meta platforms). These tools collect device and usage data and may set identifiers in your browser. To measure our advertising accurately, we may also share a hashed (irreversible) version of your email or phone number with Meta through its Conversions API when you submit a form or enquiry. This is used only to match and measure ad performance, and cannot be read by us or Meta as your actual contact details. You can limit these tools by adjusting your browser's cookie settings, using Google's Analytics opt-out, or adjusting your ad preferences within your Meta account settings.
We retain personal information while it remains relevant to providing or resuming your coaching (many clients return, and keeping your history lets you pick up where you left off) and as required by law. Financial and tax records are kept for the periods required by Australian law. You can ask us to delete your information at any time (section 9).
You can ask to access or correct your personal information at any time. You can also ask us to delete it. We assess each request individually, verify your identity, and respond within a reasonable time. Where you request deletion we will delete or de-identify your information, except records we are legally required to retain (such as billing and tax records). Contact: brendon@bccoaching.au.
Your information is stored in reputable platforms with access limited to what is reasonably necessary for delivering your coaching. We use access controls and take reasonable steps to protect information from misuse, interference, loss and unauthorised access. No system is perfectly secure, and you are responsible for keeping your own account passwords safe.
If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme.
Our services are for people 18 and over, or under-18s with parent or guardian consent. We do not knowingly collect personal information from anyone under 18 without that consent.
We may update this policy from time to time. Material changes will be notified through the Platform or by email, and the latest version always lives at this page.
